The Payroll Accounting Assistant will contribute to the efficiency of the payroll team, supporting the Payroll Supervisor in the completion of any/ all payroll related duties. The candidate should be thorough, trainable, accurate, honest, with an aptitude for learning new systems and technologies.

 

PAYROLL ACCOUNTING ASSISTANT JOB DESCRIPTION

The Payroll Accounting Assistant will contribute to the efficiency of the payroll team, by reviewing hours logged into the system by the different BU Managers, researching discrepancies, accurately calculating and entering payroll deductions, rate changes etc. and supporting the Payroll Supervisor in the completion of any/ all payroll related duties. The candidate should be thorough, trainable, accurate, honest, with an aptitude for learning new systems and technologies. He/ She should also be a team player, who values communication and process improvement.

To be successful at this position, you should have an understanding of basic Accounting principles, proficiency with computers and software such as Microsoft (MS) Excel, MS Word, Quickbooks and/or Dynamics GP. You should also be trustworthy, proactive, efficient, and organized.

 

PAYROLL ASSISTANT RESPONSIBILITIES

  1. Assists with and plays a key role in the completion of bi-monthly/monthly payrolls.
  2. Review hours logged into the payroll system for accuracy and completeness.
  3. Reviews and accurately calculates rate changes.
  4. Thoroughly researches all discrepancies submitted by BU Managers, subsequently adding same to the payroll.
  5. Responds to payroll related emails in a timely and efficient manner.
  6. Assist with the preparation of payroll journals as directed by the Payroll Supervisor.
  7. Keeps track of key statutory deadlines and prepares the necessary filing documentation commensurate with same. 
  8. Maintains employee confidence and protects payroll operations by keeping information confidential
  9. Ensures that salary deductions are paid over to vendors in a timely manner and that the payment breakout is communicated with the vendor via email. 
  10. Stores all data used to prepare the payroll, in the filing system used and maintained by the Payroll Department.
  11. Continuously identifies ways to improve and develop the payroll process.
  12. All other payroll related duties required to be performed by the Payroll Supervisor.
  13. Maintains payroll operations by following policies and procedures; and reporting needed changes.

EDUCATION AND EXPERIENCE:

  • Level 1 ACCA or any other professional Accounting Certification. A Diploma/ Associate Degree in Accounting or Finance is also acceptable.
  • At least Two years’ experience in payroll processing
  • Solid data entry skills
  • Working knowledge of relevant Accounting software i.e. Quickbooks and/or Dynamics GP.
  •  Basic Understanding of Accounting Principles
  • Strong numerical skills

KEY WORK REQUIREMENT

The candidate must be flexible and available to work on weekends and/or holidays to assist the team in completing the payroll.
