Description

Providing assistance to the director by responding to correspondences, providing daily reports, scheduling meetings, assist in implementation of programs and manage contact database, compile weekly reports of the teams/clients performance.

 

Executive Assistant

RESPONSIBILITIES:

  • Day to day administration, schedules, meeting diaries
  • Plan needed organization business travel for the Director
  • Weekly scheduled calls, video conferences, and meetings
  • Weekly correspondence to current and potential partners as directed by the Director
  • Scheduling regular management Meetings with proper and timely correspondence to management team
  • Respond on behalf of the Director to the management team regarding requests for information, packet preparation, and other needed materials
  • Prepare and send Meeting materials and attend all meetings with the Director. Minutes of meetings must be completed for reference.
  • Provide daily updates and metrics reports
  • Compile weekly reports of the teams/clients performance etc
  • Review and assist with addressing email inquiries
  • Submit weekly/monthly expense reports for the Director to Accounting / Finance
  • Assist Director  in successfully implementing special programs
  • Submit any accounting / invoices for approval from Finance monthly
  • Manage contact database
  • Any other duties assigned

EDUCATION REQUIREMENTS:

  • Bachelor’s Degree.

SKILLS AND ABILITIES:

  • 2+ years administrative experience in a high paced environment. Call center experience a plus
  • Able to respond to issues with a systematic, problem-solving approach to anticipate and address challenges
  • Draft and manage department-wide communications
  • Results oriented and take on new opportunities with a sense of urgency, energy, and enthusiasm
  • Able to manage multiple and changing priorities effectively
  • Effective at communicating in a variety of situations and with audiences at all levels
  • A skillful writer with exceptional attention to details
  • Ability to manage multiple tasks simultaneously with timely follow-up, and meeting deadlines with shifting priorities
  • Ability to handle confidential information in a discreet, professional manner
  • Excellent verbal and written communication skills and ability to interact effectively with internal and external staff, managers and executive members
  • Strong proofreading abilities and absolute attention to detail
  • High level proficiency in MS Office products, including: Word, Power Point, and Excel (Excel required high level of proficiency)
